Microsoft Dynamics GP Self Service License Offers Key HR and Payroll Features for Customers

Microsoft recently announced changes to its Perpetual Licensing model for Microsoft Dynamics GP. The latest version – available on GP 2013 and newer versions – is designed to provide customers with an easy and flexible purchasing experience. 


With Perpetual Licensing, the entire Microsoft Dynamics GP solution can be licensed with as little as one, and as many as four, core components. These core components include The Starter Pack, the Extended Pack, the Full User, the Limited User and the Self Service User. 

Here are some key HR and Payroll features for those customers considering the Self Service User License.

Employee Paystubs



With Employee Self Service Paystubs, the user can see their pay stubs as well as view the detail or print them. 

Navigation on the Employee Time Management home page opens the Paystubs navigation list. The employee can select one or more paystubs and print them at the same time. 

Employee W-4 and Workflow 

A new Employee Self Service feature in Microsoft Dynamics GP 2015 lets a user view and update their own W4 information. 

With Employee W4, the user can see their current W4 settings, view historical W4s, make changes, and submit the changes to workflow. From the Employee Time Management home page the user can choose update my W4. 

In the Employee Withholding Certificate window the employee can manage their information. Once the information is submitted to workflow, the change will be routed automatically prior to updating the employee’s record. 

Direct Deposit 

Another option for Employee Self Service in Microsoft Dynamics GP 2015 is the Employee Direct Deposit. This window allows an employee to view and edit their direct deposit information. They can start or stop direct deposit, add or remove accounts and edit the direct deposit distribution. 

With workflow for Employee Direct Deposit, the direct deposit changes can be routed to the appropriate people for verification before updating the employee’s data. 

Requisition Management



Requisitions allows for an employee to request inventoried and non-inventoried goods for purchase through the ease of entry and the ability to setup a workflow for process approvals. The requisition ties in with Purchase Order Processing functionality. 

As part of the Employee Self Service functionality, navigation is streamlined for the requester to see a requisition status or enter a requisition. 

Users are able to quickly see important information right from their Home Page using the Saved, Ready for Purchase, Pending User Action, Rejected Workflow, and Approval tiles. The Employee Self Service Home Page also enables users to quickly navigate to desired tasks as well as see last transaction information. 

Microsoft currently has three promotions offering customers the chance to own the Self Service licenses at no cost or at a reduced price. 

  • Microsoft Dynamics GP 2015 customers or customers upgrading to GP 2015 receive three Self Service Users per Full User at no charge
  • Customers needing additional Self-Serve Users can purchase them with a 50% License discount until June 27, 2015
  • Customers with Limited Concurrent CALs will be able to convert each Limited CAL for 10 Self Service licenses through this promotion.
