By 1996 it had become clear that the accounting software Seattle Mental Health was utilizing at the time was antiquated and not capable to perform at the level that was required. A committee was put together and the search for new software began. The committee contacted other companies to find out which software they were using and what their experiences were. After a thorough search only two remained on the shortlist and after the final evaluation it was deemed that Great Plains had all the qualities the agency required, especially when it comes to flexibility and Great Plains was chosen as the new software. By the end of November 1996 the software had been installed and Seattle Mental Health started utilizing Great Plains in December 1996.

Seattle Mental Health is a non-profit community mental health clinic with many contracts with the state and other municipalities. The account structure especially has been invaluable for the agency, the flexibility of it, that we are able to track expenses at many different levels. For financial reporting we can easily customize many aspects of the reports ourselves, and SmartList especially has proved to be an invaluable tool. Because our client billing is utilizing a different software and our payroll is processed by a third party, integration is a great tool for us and saves us time and errors when we can create the journal entries in Excel and import them directly to Great Plains with Integration. We are also using Integration to post our bank transactions, and again it saves us time and errors. We also utilize the Budget module. That too is a versatile tool; we are able to both import and export budgets without manual data entry. There are also so many different ways you can do inquiries and reports, depending what you are trying to do. You can easily track a transaction to its source document. The fact that you can attach documents to transactions or vendor and customer cards is also a great tool; one staff member can leave notes to themselves and other staff members regarding particular transactions, vendors or customers. We have also found the Security windows easy to use, limiting each user to those windows and reports they will need, and blocking access to, for example, company and report set up information. We also have found SafePay and EFT payments easy to set up in Great Plains, and easy to use.

In 1999 The Resource Group was recommended to Seattle Mental Health, and we started our relationship. The Resource Group has been very responsive to our requests. Many times we have told The Resource Group about a particular problem that is specific to us and that the software seemingly is not able to perform, and The Resource Group has come up with an innovative solution, sometimes requiring them to write the piece of program themselves. They are quick to respond when we have a problem. They are also finding new ways to help us, and the remote dial up is a great new tool, it is quick and easy, and meets our strict security requirements.
